The Role:
We are seeking a detail-oriented and organised Collections Administrator to join our Collections team. This role focuses on providing administrative support, managing data entry, and ensuring efficient operations within the collections process. The ideal candidate will have excellent attention to detail, strong organisational skills, and the ability to work in a fast-paced environment.
Key Role & Responsibilities:
Administrative Tasks
- Prepare and maintain accurate records and documentation related to the collections process.
- Generate and distribute statements, reminders, and other correspondence to clients.
- Maintain an organised filing system for invoices, receipts, and account records.
- Assist with preparing reports for management, summarising collection activities and account statuses.
Data Capturing
- Input and update customer payment details, account information, and other relevant data in the system.
- Ensure data accuracy and consistency across all systems and reports.
- Conduct regular data audits to identify and correct discrepancies.
Collections Support
- Assist the collections team by tracking outstanding accounts and updating payment statuses.
- Follow up on incomplete or missing customer information needed for collections.
- Support reconciliation of accounts, ensuring accurate balances are maintained.
Communication
- Act as a point of contact for administrative queries within the collections team.
- Collaborate with other departments to ensure smooth processing of collections and resolution of issues.
Required Qualifications and Skills:
- Matric (Degree/Diploma in Administration or a related field is a plus).
- Prior experience in an administrative or data entry role (experience in collections or finance is advantageous).
- Proficiency in MS Office (Excel, Word, Outlook).
- Experience with collections or financial software is a plus.
- Excellent organisational and multitasking abilities.
- Strong attention to detail and accuracy in data entry.
- Good communication and interpersonal skills.
- Ability to work independently and as part of a team.
